Thats great thanks ksand24, I have made those changes.

Do I need to add a header to the letter at all (e.g. my address or the title of the document)?

It's up to you, but I would probably structure it like a normal letter, with your address and the date in one corner.

The employer letter looks good too.

Awesome thank you. Just realised, it doesn't say on my sponsor letter that my roommate will also be living here, shall I change the sentence from this:

When Maria has been granted her visa, we plan to live at 16 Enid Drive in Belfast, which is a 3 bedroom house that I rent. I am including the most recent letting agreement statement and a letter from the landlord giving Maria permission to live there with me.

To this?
When (spouse) has been granted her visa, we plan to live at (current address), which is a 3 bedroom house that I rent with (name of roomate). I am including the most recent letting agreement statement and a letter from the landlord giving Maria permission to live there with me.

I also had a crack at the Landlord letter, if someone could take a look at?

My landlord has asked me to draft the letter and let her sign it :)

XX/XX/2018
To The Entry Clearance Officer,
Ref: Accommodation - (my name)

I am writing to confirm that (my name)is currently letting (address) with (room mate) since October 2017. They are now in a rolling month to month contract. They have been letting this property through (letting company) and I am responsible for this house. The property is a 3 bedroom house with 1 living space.

I am happy to allow (spouse name) to live at the property under the current lease. I can confirm that the property is for their exclusive use and will not become overcrowded.

Any issues, please contact me at:

Yours faithfully,

Landlord

I would change the word responsible to home owner.

And then add in, I'm happy to have applicant live at the property after her visa has been approved.

I am just thinking about the timeline and getting things signed (employment letter, landlord letter, my letter, certified copy of passport)

And just wondering, do all there dates need to be as close together as possible, or can they be spread within the month?

So if I got the:

ceritifed copy of passport: 10/10/18
landlord: 14/10/18
employer: 20/10/18
bank: 21/10/18

would this be okay, if the package is sent off within the 28 day limit?

The only ones that matter are the employer letter and the letter from the bank. They have to be dated within 28 days of the online application, not the date you send the package.

Bank statements and pay slips must also be dated within the 28 days.

So just to clarify:

1. My spouse hits the submit button on say the 26th October. She arranges the biometrics appointment.
2. I get my payslip usually on the 26th October. Enters the bank usually on the 30th, which I will state on the employer letter of the late input into my bank.
3. So then, I ship my documents to the USA. Get there in 5 days - 31st October
4. So when my documents arrive, we technically have 23 days left to send it off?

No, you have 5 days from biometrics for your spouse to send off the documents to New York!

The 28 days part applies to the period between the date your latest payslip was issued and the date she submits the online application.

Your spouse should NOT hit the submit button until AFTER she has received your October payslip and bank statement in the post.

So the order is:
1. I get my payslip usually on the 26th October. Enters the bank usually on the 30th, which I will state on the employer letter of the late input into my bank.
2. You then get your October bank statement which shows the payslip being deposited on the 26th.
3. You mail your payslip and bank statement to your spouse in the US
4. Your spouse receives the payslip and bank statement
5. Your spouse hits the submit button after she has those documents, no later than 28 days AFTER 26th October.
6. She arranges the biometrics appointment and attends it
7. She ships the application forms, her passport and all the documents to New York within 5 days

Ahh okay so next question, it doesn't go to Sheffield anymore? It goes to New York? Or is Sheffield for something else?

Also:

26th october, being the date in which the payslip says I was paid? Thats why its 28 days after 26th October?

Ahh okay so next question, it doesn't go to Sheffield anymore? It goes to New York? Or is Sheffield for something else?

In the last 2-3 weeks they have changed how things work. The application is still processed in Sheffield, but your spouse has to mail all the documents to New York, and then New York will scan and forward them to Sheffield for processing.

Also:

26th october, being the date in which the payslip says I was paid? Thats why its 28 days after 26th October?

Yes. It’s all about the dates printed on the payslips and bank statements.

So, if your latest payslip says 26th October on it, the online application must be submitted no later than 28 days from that date (the bank statement will be dated later so it will still be within the 28 days). So she has until 23rd November to submit the online application.

Also, your 6 months for the payslips and bank statements (assuming Cat A) will therefore be:
April 26th to October 26th, so you must make sure that April 26th is covered. This may mean including the March payslip as well, depending on the date on the April payslip.

Ahh I see, another spanner in the works!

I am definitely gonna review this again, when we get closer to the time as my bank statements come out on the 10th of every month. So I'll probably do:

1. March to October payslips
2. February - october bank statements (since 10th February statement will have the beginning of march at the end of the statement)

But if my bank statement for October, doesn't come until the 10th of november, I'll need to wait for it before posting.

Is that right?

You can always ask your bank to print a partial statement to save you waiting.

For example, if the money goes into your account on the 30th, then you could go into your bank on the 30th or the 31st and ask if they can print a partial statement covering from the previous statement, up to that date, and then you can send it to your spouse right away.

When you do send the documents to her, make sure you use a proper courier - UPS, DHL or FedEx. Do NOT use any Royal Mail Service (including ParcelForce) as they are unreliable and your documents may get stuck in customs for several weeks.
